PicklePro ("we," "us," "our") is committed to protecting your privacy. This privacy policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and website (collectively, the "Service"). Please read this policy carefully. If you do not agree with our policies and practices, please do not use our Service.

We collect the following information when you sign up for and use PicklePro:

  • Full name
  • Email address
  • Phone number
  • Date of birth
  • Pickleball skill level
  • Profile image (optional)
  • Payment information (processed securely by Stripe)

3. How We Use Your Information

We use your information to:

  • Create and maintain your PicklePro account
  • Allow you to join pickleball clubs and manage your membership
  • Send push notifications for booking reminders and session updates
  • Process payments for memberships, group sessions, and private lessons
  • Improve our Service through analytics and user behaviour tracking
  • Comply with legal obligations and enforce our Terms of Service
  • In the future, allow clubs to send promotional emails (if you consent)

4. Legal Basis for Processing

Under UK GDPR and the Data Protection Act 2018, we process your personal data based on the following legal grounds:

  • Consent — when you sign up for PicklePro, you consent to this privacy policy and the collection of your personal data
  • Contract — to provide you with the Service and manage your account
  • Legitimate Interests — to improve our Service and ensure platform security

5. Who We Share Your Data With

5a. Pickleball Clubs

Once you join a pickleball club, that club can access your personal information (name, email, phone, date of birth, skill level, and profile image) to manage your membership, track attendance, and communicate with you about sessions and lessons. You can join multiple clubs, and each club will have access to the same information.

5b. Third-Party Service Providers

We share your information with the following third-party services necessary to operate PicklePro:

6. How Long We Keep Your Data

We retain your personal data for the following periods:

  • Account data: We retain your account information while your account is active
  • After deletion or inactivity: If you delete your account, we retain your personal data for 90 days to address any payment disputes or legal obligations, after which it is securely deleted
  • Payment records: Retained for 6 years to comply with UK tax and accounting regulations
  • Analytics: Retained for up to 90 days; this data is aggregated and anonymised
  • Children's accounts: Deleted immediately upon parental request, with no grace period

7. Your Privacy Rights

Under UK GDPR, you have the right to:

  • Access: Request a copy of the personal data we hold about you
  • Rectification: Request correction of inaccurate or incomplete data
  • Erasure: Request deletion of your personal data (subject to legal retention requirements)

We implement strict access controls and security measures to protect your personal data from unauthorised access, alteration, disclosure, or destruction. Our database is protected with industry-standard encryption and access controls. Payment information is processed securely by Stripe and is not stored on our servers. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security of your data.

9. Cookies and Analytics

We use PostHog to collect analytics data about how you use PicklePro, including pages visited, features used, and device information. This helps us improve our Service. PostHog uses cookies and similar tracking technologies to track user activity. By using PicklePro, you consent to this analytics tracking.

10. Children's Privacy

PicklePro welcomes young players aged 5 and above. If you create an account for a child under 13, you are the parent or legal guardian, and you agree to this privacy policy on their behalf. All bookings and account management for children under 18 are handled through the parent's account. Children cannot create independent accounts or have separate logins.

Your child's account will remain under your management until they turn 18, at which point you may transfer control to them. Pickleball clubs can see your child's age to ensure they are placed in age-appropriate sessions. You may request deletion of your child's data at any time — we will delete it immediately with no retention period.

You can also contact us at support@pickleproapp.co.uk to exercise any privacy rights on your child's behalf (access, rectification, erasure, etc.).

11. International Data Transfers

Some of our third-party service providers (including Stripe, PostHog, Resend, and Vercel) may process your data outside the United Kingdom. These transfers are protected by Standard Contractual Clauses or equivalent safeguards. By using PicklePro, you consent to the transfer of your data outside the UK for the purposes of operating and improving the Service.

12. Changes to This Privacy Policy

We may update this privacy policy from time to time. When we make material changes, we will notify you by updating the "Last updated" date and, where appropriate, by sending you an email notification or displaying a notice within the app. Your continued use of PicklePro after changes indicates your acceptance of the updated policy.
